A practical guide to creating a digital hotel guest directory

How to organize room information, services, contacts, and local guidance into a clear guest directory.

Start with the questions guests ask most

List the information your team repeats every day: Wi-Fi access, check-out times, dining options, service contacts, and room instructions. Organize the directory around those needs instead of mirroring your internal department structure.

Keep each answer short and specific. Guests should be able to scan a page quickly, especially when they are using a phone in an unfamiliar room.

Make room-specific details clear

Room QR links can take guests directly to the right directory. Use a consistent display card and explain what scanning it opens.

Review the QR destination before printing. A durable QR card is useful only when the room information behind it stays accurate.

Treat updates as part of operations

Assign someone to review menus, contact details, operating hours, and seasonal recommendations. When information changes, update the digital source promptly and check it on a phone.

A directory is most useful when it reflects how the property works today, not when it was first set up.
